The Challenge

Takims Holidays relied on a fully offline, Windows-based legacy system to manage sales, itineraries, invoices, clients, suppliers, and finance operations.

The system was manual, fragmented, and restricted to office-network access resulting in operational inefficiencies and parallel Excel-based workarounds.

The challenge was to redesign the UX foundation of the platform without rebuilding it, improving clarity, efficiency, and scalability while preparing the system for future cloud transformation.

 Key Pain Points

  • Completely manual data entry with no automation
  • Fragmented supplier and client databases
  • Poor information architecture and navigation complexity
  • No cloud access or remote capability
  • No audit trail or change visibility
  • Parallel Excel files maintained outside the system
  • High cognitive load across workflows

Key Research Findings

72%

Users struggled to locate key modules due to scattered system structure.

68%

Multiple repetitive steps slowed down itinerary creation tasks.

64%

Teams relied on Excel due to system rigidity and limited flexibility.

Our Solution

We restructured the system’s UX foundation by redefining its information architecture, aligning workflows to real department needs, and creating role-based clarity across modules.

Information Architecture Redesign

Reorganized system modules around real operational workflows for better navigation and structure.

  • Clear separation for Admin, Sales, Accounts & Reservations
  • Improved hierarchy for clients, suppliers & itineraries
  • Better grouping by markets, countries & regions
